Closing Books are an important part of the client experience at Delphi, one of Sweden’s top commercial law firms. Before the firm changed how they created Closing Books – a collated set of documents relating to a case – the process was costly and time-consuming. Up to three people could be allocated to a single Closing Book, involving hundreds or even thousands of documents requiring conversion to PDF. Then, the PDF would have to be merged into a single file with a Table of Contents manually exported in from Word.
So, Delphi’s Head of IT, Henrik Jarnberg, went to other legal IT managers in Sweden and asked how the firm could simplify and speed up the processing of creating a Closing Book. The group recommended he use an automated PDF bundling tool (pdfDocs binder) to minimize the effort involved.
Phase one: Try before you buy
The firm ran a pilot of pdfDocs binder to see if the software would meet their needs. The pilot group included the secretarial staff and assistants who were then in charge with creating Closing Books for clients.
Phase two: Measure the immediate ROI
The immediate ROI was measured in how much time was saved just by switching to pdfDocs binder. Users could now add document and folders from their local drive or iManage Work into a Binder Project and easily rearrange them. They could brand the Closing Book with the firm’s logo and corporate stationery so they would look professional and consistent across the board.
Henrik said the ROI from pdfDocs binder was immediate, and “the cost of purchasing pdfDocs was recouped after the first electronic binder was created.”
Phase three: Measure the long-term ROI
Delphi is spending 75% less time on creating Closing Books since they can now be generated in a single click. Instead of three people manually creating a document bundle, they can convert to PDF, generate a Table of Contents, and output as a single or multiple PDF Binder. Henrik described how transformative pdfDocs binder has been for the firm since deployment. “To use a farming analogy, we have moved from plowing the land with a horse to plowing it with a tractor. Creating electronic binders is now a routine task at the firm, not a massive undertaking.”
